Software pricing pages are designed to show you the smallest possible number. Before comparing, work out the total cost for your actual situation: monthly versus annual billing, per-seat versus flat pricing, and how many seats you really need. A tool that looks cheap per user can become the most expensive option for a team of six.
Also check what counts as a seat. Some tools charge for every registered user, others only for admins or editors while viewers are free. Your real cost depends on your team's roles, not the marketing page.
Free tiers differ enormously in what they actually allow. One tool's free plan might cover your whole workflow, while another's is a trial in disguise with the key features locked. Test each candidate with your real tasks for a week: the documents you actually edit, the designs you actually make, the exports you actually need.
Note the limits that matter: export quality, number of projects, storage caps, watermarking, and commercial-use rights. A free tier that watermarks your client work is not really free for professional use.

Explore Digital ProductsAnnual plans typically save a meaningful percentage over monthly billing, but they are a commitment to a tool you may outgrow. The sensible rule: pay monthly for the first two or three months, then switch to annual only if the tool has become part of your daily routine.
Watch for renewal surprises too. Some tools renew at a higher rate than the introductory price, and cancellation flows are not always obvious. Set a calendar reminder a week before renewal so the decision stays yours.
Most tools gate features across two or three paid tiers. Map your must-have features to the cheapest tier that includes them, and be honest about features you will never use. Brand kits, admin controls, and API access matter for teams; solo users often do fine on the entry tier.
Beware of tier traps: a single must-have feature sitting in the top tier can force an expensive plan. When that happens, it is worth checking competitors, because the same feature may be standard elsewhere.
For each candidate, write down: total annual cost for your team size, what the free tier covers, which tier holds your must-have features, export and data portability, cancellation terms, and support quality. Score each on your real tasks, not the feature list.
Do this in a simple table and the decision usually makes itself. The tool that wins is rarely the one with the longest feature list; it is the one whose pricing matches how you actually work.
